The type of personal information we collect
We currently collect and process the following information:
· Personal identifiers, contact details and characteristics (including name, email address, postal address and phone number)
· Qualifications, accreditations, ordinations and references in relation to any application for membership, as appropriate.
· Personal details provided as part of membership applications (including date of birth, work and ministry history) and passport style photograph which we may use to create an identification style badge or for similar purpose, where such is indicated.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
· You have made an application to join the Order of St Leonard
· You are the representative or appointed contact of an organisation applying to become an organisational member of the Order of St Leonard
· You have applied to become a beneficiary of the Order of St Leonard or are a contact or representative of an organisation that has applied to be a beneficiary of the Order of St Leonard’s ministry objectives.
· You are a friend or supporter of the Order of St Leonard.
We use the information that you have given us in order to:
Maintain contact with members
Provide and request references (where permission has been given by the individual or requested by the individual) to relevant organisations where it is within our remit to do so.
Make determinations regarding applications.
We may share this information where we are legally required to do so, or with our board of trustees and senior ministry leaders (including the House of Bishops and Chapter of Canons) or with organisations working directly with the Order of St Leonard and in all cases only to serve the purposes of the Order of St Leonard in relation to your membership and relationship with the Order of St Leonard, or in support of any safeguarding concern raised and subsequent investigation. We do not share information with external third parties for any other purpose, unless required to do so by law and/or in pursuit of protection of children or vulnerable adults that may be at risk.

How we store your personal information
Your information is securely stored.
We keep your personal information, as provided by you, for the duration of your membership. We will then dispose of your contact and personal information by deletion of your records after the date of termination of your membership.
We keep personal information only as long as is necessary for us to conduct our relationship with you. We will retain application information only for as long as is necessary to make determinations regarding membership and will delete any information which is no longer necessary for our records.
We will maintain permanent records of ordinations and accreditations for internal reference purposes only, to maintain a record of prior ordinations and accreditations, and to consider membership renewal. This record contains your name, and may also include your last known email address, home address, telephone number, and the ordination, ordination recognition, membership level or accreditation status awarded.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we will acknowledge your request and we have one month to respond to you. In certain circumstances, we may ask for a reasonable extension of such time limit.
